Job Title : Administrative Assistant - based in Jeddah & Riyadh
Position Location (City) : Jeddah & Riyadh
Jobs Description :

An Administrative Assistant performs general clerical and office administrative functions. 

He reports to the Administrative Services Coordinator through the Executive Assistant to the Senior Partner, who is responsible for his day-to-day supervision.  An Administrative Assistant’s performance is formally evaluated by the Business Manager, with input from the Administrative Services Coordinator.

This is an entry-level position.

This may be a full-time or part-time position.

Principal responsibilities

               Provide general clerical and administrative services and support to managers, professional staff, and other support staff, as directed by an executive assistant or by the Administrative Services Coordinator.  These duties include, but are not necessarily limited to:  word-processing and typing; simple proofreading; filing and file management; and photocopying.

               As directed by the Administrative Services Coordinator, provide temporary services as an executive assistant.

               Perform other administrative, clerical, and management responsibilities as directed by the Administrative Services Coordinator or Business Manager.

Required education and experience

A fully-qualified occupant of this position possesses these educational and experience credentials:

               High school or secondary school diploma or equivalent certificate

               Experience performing duties similar to those required by this position, especially in a law firm or corporate law department, are highly desirable, but not required.

Required skills and competencies

To perform the responsibilities of this position at a satisfactory level, an Administrative Assistant must demonstrate mastery of these business skills and competencies on a regular, frequent basis:

               The ability to understand and follow the instructions and requirements of assigned tasks clearly and accurately

               The initiative to seek guidance or further instructions when the Administrative Assistant is not sure about how to perform an assigned task

               Proficiency in Word™ or similar office applications sufficient to prepare finished documents, with prompt, accurate, and professional-looking results, and with minimal need to correct errors

               Proficiency in the Arabic language commensurate to that commonly found among junior clerical employees in the Saudi Arabian business community

               Proficiency in the English language sufficient to read and understand ordinary business correspondence and legal documents in English, and to have basic business conversations with English-speaking clients and visitors to the firm

               Time and workload management skills sufficient to ensure completion of multiple high-priority tasks and projects efficiently, on time, and with an acceptable level of quality

               The ability to complete urgent tasks efficiently and accurately, on short notice

               Personal work discipline and habits sufficient to perform routine duties and complete assigned tasks with minimum supervision

Attention to detail in the preparation and review of documents
